Buyer Profiles & Surveys.

Collect buyer requirements with a survey, track pre-approval readiness, and automate prep follow-ups.

Working a buyer means knowing two things: what they want and whether they're actually ready to buy. The Buyer Profile collects both — the buyer fills in a short survey on their phone, ListingStack turns the answers into a requirements checklist and a pre-approval readiness read, and (if you turn it on) follows up automatically with buyers who aren't mortgage-ready yet.

The Buyer Profile card

Every contact's detail page has a Buyer Profile card. Two badges tell you where things stand at a glance:

  • Survey status — next to the card heading: Survey Not Sent, Survey Sent, or Survey Complete. "Sent" flips when you actually share the link — a successful copy, a text, or an in-app email send — not when you merely generate or preview it. "Complete" means the buyer submitted their answers.
  • Pre-approval status — on its own line below the heading: Ready to show, Needs prep, or Unknown. See below for exactly what drives each state.

The card also shows a completeness hint — the handful of key fields (timeline, property type, target areas, price max, pre-approval, contact preference) still missing before a showing makes sense.

Click Edit on the card to fill in or correct anything yourself. The form has two groups: the survey fields(timeline, areas, property type, beds/baths, price range, pre-approval, and so on — you can enter these on the buyer's behalf before or instead of a survey) and agent-only fields the buyer never sees (financing type, down-payment cash, home to sell, decision makers, commute notes, HOA tolerance, accessibility needs, schools, pets, showing pace, credit concern, and free-form notes). Dropdowns include a "—" option so you can clear an answer, not just change it. Once a survey comes back, the card separates what came from the buyer survey from what's agent-only, so you always know whose words you're reading.

Sending the buyer survey

Click Generate survey linkon the card to create the contact's personal survey link. An Actions ▾ menu then offers:

  • Copy link — copy the URL to paste anywhere.
  • Text to buyer — opens your phone's messaging app with a short, friendly message and the link pre-filled.
  • Email to buyer — opens the in-app compose modal (when the contact has an email on file) so the send is logged; without an email address it falls back to your mail app.
  • Preview — opens the survey exactly as the buyer will see it.

The first successful share stamps the Survey Sentbadge; sharing again later doesn't reset it. Regenerating or previewing the link never counts as sending.

The survey itself needs no login or account. It walks the buyer through ten quick steps, one question per screen — timeline, property type, beds and baths, target areas, must-haves and deal-breakers (both optional), a price sliderwith handles for their comfortable range plus an absolute ceiling, pre-approval status, whether they're working with another agent, and how they prefer to be reached. Multiple-choice answers advance automatically to keep it moving — most buyers finish in about two minutes.

When the buyer submits, their answers land on the Buyer Profile card, you get an in-app notification ("Buyer survey completed"), and the submission is logged on the contact's activity timeline.

Pre-approval readiness

The readiness badge is computed from the profile, and recomputes every time the profile changes — a card edit or a survey submission:

  • Unknown — no pre-approval answer yet.
  • Needs prep— not pre-approved yet (answered "no" or "working on it"), orpre-approved but their purchase depends on a home sale that isn't listed yet or is sale-contingent.
  • Ready to show — pre-approved with no blocking home sale.

When a buyer flips to Ready to showwith an urgent timeline (buying ASAP or within 3 months), you get an in-app notification — "Buyer is ready to show" — whether the flip came from a survey submission or your own edit.

The mortgage-ready guide

For buyers who aren't marked pre-approved, the card shows Send mortgage-ready guide(the contact needs an email address). It sends a friendly email with practical get-mortgage-ready tips and, if you've set one, your preferred lender's name and link. The card remembers the send — Guide sent <date> — with a Send againoption, and the send is logged on the contact's timeline.

Prep emails (automatic follow-ups)

Prep emails are a short, three-step drip for buyers who aren't mortgage-ready yet. The feature is off by default — turn it on under Email settingsBuyer readiness.

  • Automatic enrollment— with the toggle on, a buyer who submits the survey and isn't ready to show is enrolled automatically (they need an email address and must not be unsubscribed). The survey's thank-you screen tells them so: "We'll send a few helpful home-buying prep tips — unsubscribe anytime."
  • The sequence — three emails: the mortgage-ready guide first, a follow-up 5 days later, and a final nudge 7 days after that.
  • Your words — emails 2 and 3 are editable in the Buyer readiness settings. The text boxes come pre-filled with the built-in messages, so you can see exactly what will send and tweak from there; clear a box and save to reset it to the built-in message.
  • Manual control — the Buyer Profile card has Start prep emails / Stop prep emailsfor any contact, no survey required (starting needs the org toggle on). While active, the card shows progress — "step N of 3 sent" and the next send date. Restarting begins a fresh sequence from step 1.
  • Automatic stops— the drip ends on its own when the buyer becomes ready to show (the card notes "stopped — buyer is ready") or unsubscribes.

Readiness on the contacts list

The Contacts table has a Readinesscolumn showing each contact's badge (contacts with no buyer profile show a dash). Click the header to sort — the first click puts the most-ready buyers on top; click again to reverse. There are also Buyer Readiness filter pills (Ready to show / Needs prep / Unknown); contacts without a buyer profile only appear under All. Filters combine with search and the other pills, and Select all N results respects whatever filter is active — handy for bulk-emailing everyone who still needs prep.
